Transcript for "Introducing Nutrient Workflow: Smarter automation for document-heavy operations":
Hey, everyone. Welcome to today's webinar, introducing Nutrient Workflow, smarter automation for document heavy operations. We really appreciate you taking the time to join us. The goal for today is simple, to give you a clear view of what Nutrien workflow is now and why it's a different approach than traditional business process orchestration. If you're a long time customer, you'll recognize the foundation and you'll hopefully get a more thorough breakdown of what's new. If you're new to Nutrien, hopefully you'll leave today with a new model of what document centric automation can mean for your organization. It's an exciting time for us at Nutrien, and as you can tell from the title, it's kind of an official relaunch party for this platform. We have lots to talk about, so let's dive in. I'm Bradley Hearn with the product marketing team here at Nutrient, and joining me are Greg Ives and Tony Buffa, also with the marketing team, who will be helping walk you through all the new updates that we've been working on. Thanks, Bradley. Always a pleasure to be here. Thanks, Bradley. Thank you, guys. Alright. So quick housekeeping before we jump in. First, we understand how busy everyone is, so we'll try to keep this tight, thirty minutes or so. Please drop any questions you have into the q and a tab on the right side of your screen. But one thing to note, since we're trying to keep today's event as succinct as possible, we're not gonna answer questions live. However, please don't let that stop you from asking away because we will reach out to you directly. We wanna hear from you, but, you know, often, many of the questions that we get are very specific to your workflows or your department, and we found it's just more efficient to answer them directly afterwards so we can, you know, ask follow-up questions, understand the nuance, you know, and all that. And that applies if you're watching this recording on demand as well. We wanna hear from you, so please reach out with any questions you have. Okay. On to the agenda. First, I wanna spend a minute or two just giving a brief background on, like, how we got here today and why it's important in understanding the mission behind our platform. Next, we'll run through what you're really here for, which is a detailed breakdown of all the ways that a smarter platform can help you automate your business processes, and particularly the document heavy workflows. Then Tony will walk you through exactly what some of this functionality will looks like looks like in the platform. And then finally, we'll wrap up by highlighting some actual success stories from companies that you know, who have had who successfully solved specific business challenges and came out on the other side with more efficient, secure, and scalable workflows. Alright, so let's get to it. So as some of you know, in early twenty twenty four, the company formerly known as Integrify joined Nutrient, bringing a strong workflow foundation and a large global user base. The strategic why behind this was very simple. Plenty of workflow platforms automate routing, but the hardest part of operations is still document work: approvals, edits, signatures, extraction, audit proof. And while most workflow platforms out there treat documents as an afterthought, as, you know, attachments to work around or stitched together, at Nutrient, documents are where we started. Like Nutrient has spent years building document infrastructure for the world's biggest companies across SDKs, APIs, and integrations. Workflow was the missing layer to connect these those leading document capabilities directly to business processes through a proven SaaS platform. So we didn't just acquire a workflow engine, like, we went to work evolving it. Alright. And we went to work evolving it because documents are still critical to how work actually gets done. In our world of, you know, ever evolving technology, documents still carry decisions Like contracts formalize terms, claims trigger payments, capex requests unlock spend, compliance records improve accountability. Behind every document is a person trying to understand, to collaborate, approve, or take action. And as a result, documents remain the lifeblood of how organizations think, communicate, decide, improve. Meanwhile, automation abounds. You know, we have more tools than ever. Every department is trying to automate something. But even with all of these modern systems and like our advanced processes, point solutions, people are still taking manual action to review, verify, approve, and archive in the document layer. So the problem is that while automation improved coordination, it didn't improve execution. Most orchestration tools weren't built with documents in mind, as I said, so document capabilities just get bolted on later. And the result, as I mentioned on the last slide, is disjointed systems and processes. People still download files to edit, rekey data, chase signatures, and stitch the proof of it all together for audits. And then now AI is accelerating everything for good and bad. Like if the workflow isn't governed, AI makes mistakes faster and then risk scales along with it. It's exposing the pain points in your processes. And then when execution is fragmented and processes are over overly complex, like the business feels it in four main areas: you know, cycle times stretch because work waits on handoffs, Decisions get blocked because approvals and documents live in different places. Tool sprawl grows, you know, as teams start bolting on editors and signature tools, extraction tools, and storage systems just to finish the work. And then four, and compliance becomes reactive. Proof is reconstructed after the fact instead of captured as decisions happen. And these challenges only compound naturally as teams grow and as organizations get bigger. So our point of view is very simple. Like workflows shouldn't just route tasks. They should accelerate work. Like coordination first workflows are still very valuable. You know, building those processes, routing tasks, collecting approvals, tracking status. But execution first workflows are what close the gap. Completing document work inside the flow. Editing, signing, extraction, processing without pushing people into disconnected tools. That's how you reduce work. That's how you shrink cycle times. That's how you keep your proof intact. The left side there isn't necessarily going away, and our platform is fantastic at helping you with those things. But on the right side there is where we are innovating and building on top of that proven foundation. And so as we've talked to customers and other organizations about their challenges and successes, we've recognized, like, common themes and distilled them down into four essential pillars for successful workflow automation. This is the framework that modern forward looking companies use when assessing new automation tools. The first pillar: document centric foundations, as we've talked about. So execution happens in the workflow, not outside of it. Second, compliance at every step, so auditability isn't reconstructed later. Third, deployment and integration flexibility because every organization has different systems, data, security constraints, and you need a tool that can adapt to your reality. And then fourth, AI where it actually matters. Not just AI for AI's sake, intelligent tools applied inside real execution paths where they actually provide benefits and come with validation and oversight. Okay. Now that you know those four, we're gonna use these four proven pillars as, like, as a lens today to kinda walk you through how Nutrien can give you a better foundation for success. Yeah. So thanks, Bradley. In a in a few minutes, Tony's gonna walk us through a recorded demo that shows exactly how we deliver on these pillars. But first, let's take a high level look at some of the capabilities that we've been building in the workflow. So as Bradley just mentioned, Nutrient has been a leader in the document technology space for more than a decade. Right? So, it's SDKs powered the document capabilities of some of the world's most trusted apps. And now we've brought some of those same battle tested capabilities to Nutrient workflow to transform it into a world class process automation platform for document heavy workflows. So let's take a look at some of this technology that's available for you and your teams now. Alright. Well, so let's start at the beginning of the life cycle with document generation. Just as the name implies, this powerful component makes it super simple to generate documents directly within your workflows. Specifically, it allows your teams to automatically produce professional docx and PDF files while using dynamic templates filled with real time data from Nutrien workflow, CRMs, ERPs, and internal databases. Whether it's an HR letter, an invoice, or a financial report, document generation is now scalable, accurate, and consistent. Document generation also allows you to create consistent output with docx templates that support dynamic fields and tables for those documents that are polished and on brand. Lastly, its capacity for batch or for batch processing lets you handle large scale document generation quicker and more efficiently. Alright. So if you think back over the last several years or even decades, managing documents within an automated workflow has always been kind of a drag on productivity. You know, approvals get slowed by logging in and out of disjointed tools that honestly don't have the functionality you need to properly annotate or edit documents. That's why we've added advanced document editing, markup, and collaboration capabilities directly to the platform, allowing your teams to manage content in the same interface. Having native document editing built right into the workflow means you'll benefit from secure document handling and routing. You can also take advantage of complete version tracking to help ensure compliance and audibility. Alright. Now we all know how painful it can be to chase down, internal or external parties to get an approval on something, you know, especially when it means exporting files to, a third party signing tool or chasing down sign offs over email. Look, I've even talked to customers who are still passing around and signing Manila folders. There's no lie. Fortunately, our document signing capabilities allow you to request, collect, and verify signatures directly inside your workflow. That includes support for both electronic and digital signatures. Alright. So if you're wondering what the difference is between the two, digital signatures are a specific encrypted form of electronic signatures that uses, cryptographic algorithms to to verify the signer's identity and to ensure documents, integrity. So in other words, digital signatures can be validated so that you know that the document was signed by a real person and not changed or altered afterwards. There are even courts around the world that require this level of verification for signatures to be legally binding. So no matter the use case, we've got you covered. Nutrient also allows you to easily configure the order in which a document is signed, add expiration rules, and verify signer identity through multi factor email authentication. And to help ensure your approvals never fall through the cracks again, we've also included automated reminders and a smart routing system that can be integrated directly into your processes. Whether you're collecting internal approvals or finalizing legally binding contracts, Signing is now a native part of your workflow, not a separate system. So while we're on the topic of solving day to day burdens, manually copying, pasting, and reentering data from multiple documents into a single form has historically been a time consuming, error prone process. With the introduction of AI data extraction, we're bringing intelligence to the point of input using AI to automatically extract key data from PDFs and other formats directly into your workflow forms. No more copying, no more pasting, just seamless, scalable automation. And the best part, it's as simple to use as adding a text field. That's it. No special skills required. And with this most recent update, we're able to provide users with true intelligent document processing or IDP. That means that in addition to, the sheer number of documents that you can process at the same time, you're also able to easily extract data from across multiple formats and file types. That includes working with PDFs, mixed document sets, and even unstructured inputs like scans, all without the rigid templates. Finally, AI data extraction works with all leading model providers, even your own self hosted LLMs. We know just how important that is when it comes to ensuring data security and compliance. Okay. Let's talk about that second pillar, compliance. At Nutrient, we believe trust is earned, not assumed. And that's why every facet of our workflow platform is engineered for uncompromising security, transparency, and auditability. From our SOC two type two compliance to our security credential center, you can rest assured knowing that Nutrient workflow meets the industry's highest security standards. Now we've talked to hundreds of customers, and one of those common themes that we hear is the need to prove compliance. And that's why we've baked in full audit trails to log every step of a process with full historical snapshots and retention. You know who did what when. You're also able to include policy driven approvals that prevent submissions unless strict policy acknowledgements, required reviews, or specific approvals are complete. Third, to help flag overdue steps or missing documentation, you can set exception on and delay reminders. And then lastly, you can also use the security credential center to manage sensitive tokens, passwords, and keys in a completely protected environment. But we also understand how important it is to have the right information at your fingertips when you need Our recently updated reporting dashboards make it easier than ever to monitor workflows, surface insights, and take action. Whether you're managing process performance or tracking individual approvals, the dashboard now works the way that your team does, like in real time and on any screen or device type. You're also able to customize the widget layout. You can monitor workflow activity in real time and cater the view to your individual teams, departments, and process centers. And finally, you can access your data on demand or you can choose to have scheduled data reports. So you can share reports at any cadence that you choose. And speaking of flexibility, let's move to the third pillar, flexibility. Deployment and integration flexibility. Whether you're linking CRMs, ERPs, and collaboration tools, or you're deploying across multiple teams and systems, Nutrane Workflow integrates seamlessly into your existing tech tech stack. We have dozens of prebuilt connections and Ovid APIs to bring the power of workflow to your other systems. Here on the screen are just a sample, that we currently support. And if we don't already have a prebuilt connection to one of your systems, our team is always willing to explore adding new ones. And we can also support just about any deployment model you need. Cloud? Of course. A private cloud setup with custom network rules? We can support that too. On prem? No problem. We will help you set it up. Simply choose the architecture that matches your IT strategy, your compliance requirements, and your growth plans, and we can get you there. Alright. That takes us to our final pillar. While many platforms simply bolt on AI for AI's sake, we've thoughtfully built AgenTic capabilities into our workflows with the governance, visibility, and rules based logic enterprises need. In other words, we believe in providing AgenTic tools where it counts to allow AI to handle the tedious parts while your team stays in control of this the decisions that matter most. Now in a few minutes, you'll see firsthand how our agenda capabilities are designed to reduce time to action, boost productivity, and improve decision quality scale. But before we show the demo, let's just quickly run through the capabilities. Alright. Let's start with our AI Form Builder agent. So the workflow platform provides two methods to design and build the forms used throughout the chain of processes that you manage. First, you can always use our manual builder, to you know, that includes our drag and drop form designer. While this form designer is really intuitive and gives you, you know, complete control over every single design element, Sometimes you just wanna replicate an existing form or template you have on hand. Or maybe you don't have a specific design in mind, and you just wanna explore what's possible with your use case. This is where the AI Form Builder agent can really help save time. Using natural language, simply describe the form that you need and let the agent generate the full structured version automatically. You tell it to include more complex structures with calculation fields, validation rules, drop downs, and even best practice naming conventions. And if you already have a form on hand, simply upload the file, and you're able to quickly extract fields and definitions automatically. This is easy as having a conversation. Alright. Next is our new AI approval agent, which makes context aware recommendations based on internal policies or rules or data that you provided. So think about how long and dense corporate policy dots can be. Right? There can be dozens or hundreds of pages of legalese that needs to be considered when making a major purchase or an acquisition or a partner agreement. That's where AI Approval Agent can save a massive amount of time for you and your team. It's able to immediately scan these policies and documents and suggest whether you should approve or deny a request, all within seconds. Every recommendation uses traceable logic to point to the exact rules it checked and why it made the recommendation that it did. You're able to adapt approval flows based on, you know, request amount, the type, department, or really any workflow variable. And if a request falls outside of certain policies, the agent will simply flag it and escalate it to human reviewers with full context and explanations included. In other words, you and your team have full control over what gets approved or not. The agent simply empowers you to make an informed decision quicker. Alright. So that's enough of of me talking about what we can do. Let's go see it in action. I think you're gonna really enjoy what Sony is about to walk you through here. Alright. Let's go ahead and jump into this demo. So today, I'm gonna show you the features inside of Nutrient workflow. I'm going to cover the process builder, form builder, intelligent document processing, document generation, editing, signing, and audit trail, and our AI approval agent. So with all that, let's jump in here with the Nutrient form builder. The form builder is drag and drop. You can select any of these question types from the left hand side and just put it exactly where you want it on your form. Since this form is already built out, I'll just drag in a short text field and add an option for last name. Something else that Nutrient workflow has is an AI form builder. So let me ask the AI form builder to create a new hire form. The cool thing about the AI form builder is that you can talk to it just like any other agent in natural language, and it'll create this automatically by itself. You can make revisions as needed or add different field types, but this is the basics of the AI form builder. Let's stick with the form that's already been created and jump over to the process. Just like the form builder, the process builder is also drag and drop. You can drag different task types. For example, maybe I want to add a CEO approval step. So here's that form we've been working on, and it has that last name field right here that was just added in. Here's the document generation step, and here is this docx file. All of these fields are going to be filled in with data from the workflow form, so there's no more copy and pasting marathons that's gonna fill in these templates. This is going to significantly save your team a lot of time. Since this process is already built, I'll go ahead and delete this CEO approval step that I just pulled in. And for the sake of this being an example, I'll go ahead and just put my own information in to show you how this process works. I'll give myself a great salary. And since Greg is here today, I will have him be my manager. Here's that generated document based on the docx file that we just saw. It grabbed all the information from the workflow form and brought it over here. This is also where document editing comes into play. You can make edits directly inside of Nutrient workflow. So there's no more downloading or re uploading when you need to make an adjustment to your documents. You have all the rich text editing features that you're used to seeing too. I'll go ahead and save this document with the revisions, and here on the left, you'll see a version history. It always stays up to date with different changes that you may be making. So having this version history completely eliminates any version confusion that you might have in your processes currently. Let's go ahead and submit, and it'll move on to the signing task. No more leaving your workflow to sign on separate platforms. Everything is done directly inside of your workflow. Again, just like the process and form builder, drag and drop your fields exactly where you'd like them on your document. I'll add that I want a signature and a date field. And here's a digital signature that you can add, which adds additional security right on top of your documents. Let's go ahead and submit. And now in a real world case for this process, it would send your candidate to sign before accepting their offer. I'll show you what that looks like. Here you can either draw, type, or upload an image of your signature. I'll go ahead and have it typed. I'll add in the date, and here's that digital signature. And then go ahead and submit again. We've reached the end of this process, so here's the request detail page. You can see this at any stage in the process, but you'll have a full audit trail of every single step that was done in your workflow, who it was completed by, what time, and the status. So, again, on this generated offer letter, we'll be able to see both versions of the document. That keeps everyone in the loop of everything that was done in your workflow. I'm now going to show our AI approval agent with an invoice approval use case. Here's this AI approval agent in action. So I already ran this process, and it's sitting in the manager approval step. You can see that the agent has analyzed this invoice and is recommending for us to approve it. Usually, users would have to scroll through this entire document, search and find what they're looking for to make the decision of approved or rejected. But on the right, it's showing exactly what it was pulling from from this policy document to make the decision of approved. So I'll go ahead and I would accept this request, and then the workflow would move on from there. That wraps up my demo today. I hope this gave you a great look at Nutrient workflow and how it can manage your entire document life cycle from start to finish. I'll pass it back over to Greg and Bradley. Thank you. Alright. So Tony just showed a couple of common use cases that we see here at Nutram, but we have hundreds of customers who use us every day for a broad range of workflows. However, something they all share is that they all incorporate at least one of those foundational pillars into their operations. For instance, BP, one of the world's largest energy providers. They needed an efficient way to ensure internal data was maintained and auditable for compliance purposes. Now they rely on Nutrien workflow to track and archive data across hundreds of projects at a time, all to meet those strict regulatory requirements. GSK, Glassdoor Smith, Cline. They needed a request management system to handle IT requests all around the world. Now they use workflow to accelerate the approval process for more than 600 requests a day. And finally, there's HGL, who uses workflow to ensure their environmental restoration projects are moving along in a timely manner. I also included this simply because I love our client our client's quote. Having nutrient workflow lets me sleep better at night. Chris, I could not have said it any better. So thank you for that. Alright. So on that note, I'll pass it over to Bradley to take us home. Alright. Thanks, Greg. Before we log off, I just wanna zoom out for a minute and introduce you to the full scope of Nutrien's product offerings. At Nutrient, we're on a mission to evolve how humans experience and interact with documents with the unrivaled breadth of document solutions from our industry leading SDKs to our cloud based document web services, to our marketplace integrations with systems that you already use, like m three sixty five and Salesforce.
